User Acceptance Test Overview

The information below is intended to provide colleges guidance on performing a User Acceptance Test on the Hire to Payroll business process. This step in the User Acceptance Test process will be  executed whether a college uses TAM or not as each employee must be enrolled in the appropriate benefit program.  

The high level flow for the Hire to Payroll process shows this step (HH.001.7 - Manage  Benefit Enrollments) being executed concurrently with the other two steps (HH.001.6 - Manage Time and Labor Enrollments, HH.001.8 - Process Absence Entitlements).  

The business process flow diagram for this step (HH.001.7 - Manage Benefit Enrollments) shows the process ending as of viewing the benefit information, however all steps HH001.6 - HH.001.8 plus HH.001.9 and HH.001.10 must completed to be done with the User Acceptance Test for the high level flow (HH.001 - Hire to Payroll).

The steps below are only part of what is needed to complete an end-to-end test of the full business process for hiring an employee and ensuring their data is ready to begin payroll processing. Coordination with other colleagues, such as those who manage hiring, benefit enrollment or process leave at your college in advance of commencing testing is key to success. In the same way that it doesn't take a single individual to operate the business of running a college it will require coordination across departments to successfully test a business flow from beginning to end.

The HH.001 - Hire to Payroll end-to-end test is considered complete  when the job information, related time, leave and benefits are entered  for the  population of employees used in executing the test. The end result is employee data that will be ready and available for a payroll test. Actual execution of the payroll test is performed in a separate UAT HF.002 - Payroll to FIN (GL/AP).

Minimum Test Case (Data) Scenarios:

  • Enroll an employee in SB1 (and all eligible Benefits)
  • Enroll an employee in SB2 (and all eligible Benefits)
  • Enroll an employee in SB0 (and all eligibile Benefits)
  • Change an employee from SB0 to SB1
  • Change an employee from SB1 to SB2
  • Change a terminated employee to SB0
  • Terminate a benefit (any)
  • View any employee's Benefit Information and Deduction Summary
  • View the Dependent/Benefit Summary for an employee with Dependents
  • View (your) Benefits self-service page
  • Error Condition: Try to enroll an SB0 employee into a Disability Plan.
    • Expected Behavior: Entry will not be allowed to save since SB0 will prevent enrollment into a disability plan.
  • Error Condition: Waive a benefit that should not be waived.
    • Expected Behavior: Since waive is a viable choice and it isn't allowed by business process rather than the system, the waive will save without error. Safe guards in your business practice should be included to prevent this condition.
  • Error Condition: Enroll a terminated person in Benefits.
    • Expected Behavior: System will allow the enrollment, as Termination alone isn't enough to lock out an employee from having a benefit plan assigned.
  • Error Condition: Enroll for a "bad" effective date.
    • Expected Behavior: Effective date will save, there is no verification of the dates themselves, there is just verification against Benefit Program.

* The roles that have correct history should ONLY be granted to a single individual who has a solid understanding of the impacts of making retroactive changes to data. Use of correct history can have detrimental impacts to key processes and should be done sparingly and with great caution.
