OAAP Dashboard

This Quick Reference Guide reflects future functionality that will be implemented on 11/04/2025

Purpose: Use this document to view Online Admissions Application Portal analytics using ctcLink's OAAP Dashboard.

Audience: Admissions Staff.

This dashboard is designed to give administrators an overview of student admission status. It displays the number of in-progress and submitted applications.

  1. Enter your Username (EMPLID).
  2. Select the Sign In button.
  3. The Okta login page will appear with your ctcLink ID pre-populated in the ctcLink ID field.
  4. Select the "Keep me signed in" checkbox to stay logged in even after closing the web browser. When users return to the protected application from the same device and browser, they are automatically logged in without needing to re-enter their credentials.
  5. Select the Next button.
    • Unlock account? In the event that you are unable to access your account, click on the "Unlock account?" link and provide your username and email address when prompted.
    • Help. If you encounter difficulty logging in with your credentials, click the Help link to connect with the college to which you are applying for admissions.
  6. The OAAP Password page displays.
  7. Enter your password in the Password field. Select the eye icon to reveal the password. Click the eye icon again to conceal it. If you enter your password but don't select the Verify button, the screen will time out, and you will receive an "Unable to sign in" message. In that case, please select the "Back to sign in" link at the bottom of the page.
  8. Click the Verify button.
    • Reset Password. After clicking the "Reset Password" link, your browser will redirect you to a page where you can select the "Send me an email" button. After clicking the button, a message will appear on your screen: "We sent an email to your email address. Click the verification link in your email to continue or enter the code below." Access your email and click the Reset Password button to display a verification code that you will need to enter on the password reset page. By resetting your password with your ctcLink ID, you are also changing your password for ctclink.
    • After clicking the Verify button, the Verify it's you with a security method page displays. Verify your account using one of the available verification methods.
  9. A "Get a verification email" or "Verify with your phone" page appears depending on your verification method. Choose to receive a code, then retrieve it from your source (email, text, etc.).
    • Verify with something else. Selecting the Verify with something else link directs you to the Verify it's you with a security method page. If you have configured additional Okta password recovery options, you can reset your Okta password.
  10. The Verify box appears. Enter the code received from your source and click the Verify button.
  11. The OAAP Dashboard displays.

  1. The "From" and "To" fields default to one year from the current date (system date). For example, if today is 10-21-2025, the date range will automatically default from 10-21-2024 (From (MM/DD/YYYY)) to 10-21-2025 (To (MM/DD/YYYY)).
  2. Click the calendar icon to change the date range.
  3. After selecting the date(s), the graphs visually display the totals before the 'From' field date.
  4. To further filter results, activate the Terms drop-down list and choose a term.

  1. Select the "In-Progress Applications" link from the left-side menu.
  2. The In-Progress Applications page allows staff to search for and review applications that have been started but not yet submitted. Use the available search fields to filter results by applicant details, institution, term, and date range.
    1. Application ID: Enter a specific Application ID to locate one applicant record.
    2. Select Institution: Use the drop-down menu to choose the academic institution for which you hold security roles.
    3. Terms: Select a specific academic term to narrow results. Example: FALL 2025, WINTER 2026.
    4. Username: Enter the applicant’s ctcLink or username to find an individual record.
    5. Name: Search by applicant’s first or last name.
    6. Status: Choose from Active, Inactive, or Queue for Submission to limit search results to current or hidden in-progress applications.
    7. Date Search On: Select the date field to search by:
      • Creation Date Range (default) – when the application was created.
      • Adjust the From (MM/DD/YYYY) and To (MM/DD/YYYY) date fields to define the search window.
    8. Action Buttons:
      • Apply – Runs the search using the entered criteria.
      • Clear – Removes all filter values and resets the page.
  3. Once you select Apply, the table displays the filtered results.
  4. Each row represents a unique in-progress application.
  5. Click the Download (cloud) icon to export the current list of applications displayed on the page, based on the selected Items per page setting.
  6. After completing any actions on the In-Progress Applications page, you can return to the OAAP Dashboard by selecting the Dashboard link from the left-side navigation menu.

In-Progress Applications Search Results Grid

Column Description
Application ID Click the Application Id link to open the application details page.
Institution Displays the institution associated with the application.
Type Identifies whether the applicant is First Year, Reapplying, Non-Award Seeking, etc.
Program Indicates the type of program, such as Academic or Baccalaureate.
Term The academic term for which the applicant is applying (e.g., FALL 2025).
Plan Displays the applicant’s chosen program plan (e.g., Pre-Nursing DTA/MRP, Biology DTA/MRP).
Creation Date Shows the date the application was created.
Name Displays the applicant’s full name.
Phone Applicant’s contact number (if available).
Username The applicant’s ctcLink or login ID.
Status Indicates whether the in-progress application is Active, Inactive, or Queue for Submission.

  1. Select the Submitted Applications link from the left-side menu.
  2. The Submitted Applications page allows staff to view student applications that have been submitted through the Online Admissions Application Portal (OAAP). Use the search filters to narrow results by application ID, institution, applicant name, term, and status.
    1. Search Application ID: Enter a specific Application ID number to locate an individual applicant’s record.
    2. Select Institution: Use the drop-down list to choose the academic institution you want to review.
    3. Terms: Select a specific academic term to filter submitted applications. Example: FALL 2025, WINTER 2026.
    4. Search First Name: Enter the applicant’s first name.
    5. Search Last Name: Enter the applicant’s last name.
    6. Status: Use the Status drop-down to select application statuses, such as:
      • Submitted – Application has been submitted but not yet processed.
      • Active in Program – Applicant already admitted and active in a program.
      • Pending – Application suspended.
      • Cancelled – Application withdrawn in ctcLink.
    7. Date Range Fields: Specify a date range to limit results based on submission dates.
      • From (MM/DD/YYYY) – Beginning of the date range.
      • To (MM/DD/YYYY) – End of the date range.
      • By default, the system displays applications submitted between the current and previous year.
    8. Action Buttons:
      • Apply – Runs the search with your selected filters.
      • Clear – Resets all fields to their default state.
  3. Select the Download icon in the upper-right corner to export the current list of submitted applications.
  4. The downloaded file will include only the records displayed based on your Items per page setting.
  5. To view an individual student's application, select the Application ID link and use the scroll bar on the right to navigate the application.
  6. The process is complete.

Column Description
Application Nbr Displays the unique application number. Click the blue link to open detailed application information.
Institution Identifies the institution where the applicant submitted their application.
Student Name Displays the applicant’s first and last name.
Career Indicates Undergraduate.
Program Displays the program type, such as Academic or Professional Technical.
Plan Lists the applicant’s intended plan or area of study (e.g., Accounting AAS, Business DTA/MRP).
Submission Date Shows the date the application was officially submitted.
Status Indicates whether the application is Submitted, Active in Program, Pending, or Cancelled.
