Selective Admissions Acceptance Using Self Service

Purpose: Use this document as a reference for tracking applicant responses to admissions offers using Self Service in ctcLink.

Audience: Selective Admissions staff

You must have at least one of these local college-managed security roles:

  • ZD AD App Entry
  • ZZ AD App Entry
  • ZC AD App Entry

The following SOGI roles have access to the Personal tab only.

  • ZD CC SOGI
  • ZZ CC SOGI
  • ZC CC SOGI

You must also set these SACR Security permissions:

If you need assistance with the above security roles or SACR settings, please contact your local college supervisor or IT Admin to request role access

The Self-Service Admissions Acceptance functionality will not be available unless the SS Fluid Applicant SS Setup is configured. Visit the QRG Maintaining the Fluid Applicant SS Setup Configuration for more information.

Navigation:  Student Admissions > Application Maintenance > Maintain Applications

Navigation: ctcLink CS Staff Homepage > Admissions Processing (tile)> Processing Applications > Maintain Applications

Locate the Application

  1. Navigate to Maintain Applications.
  2. Select the Academic Institution.
  3. Enter search criteria as needed:
    • Application Nbr
    • ID
    • National ID
    • Last Name / First Name
  4. Tip: Delete the “0” in the Application Program Nbr field to display all applications for the student.
  5. Select the Include History check box to view all application rows.
  6. Click Search.

Update the Application

  1. The Biographical Details tab opens by default.
  2. Select the Application Program Data tab.
  3. In the Program Data section, click Add a New Row (+).
  4. Review populated fields:
    • Academic Plan – populated from the student’s application (OAA or paper).
    • Sub-Plan (optional) – populated if selected on the application.
  5. A new effective-dated row displays.
  6. In the Program Status section, select one of the following Program Actions:
    • ADMT – Admitted
    • COND – Conditionally Admitted
  7. Click Save.
  8. The applicant can now view their admission status online.

Applicant Accepts the Offer (Student)

NOTE - This will work only if the applicant has activated their ctcLink account and can log in to Student Center.

  1. The applicant logs into ctcLink Student Homepage.
    • Note: This requires an activated ctcLink account.
  2. The applicant selects the Admissions tile.
  3. On the Application Status page, the applicant selects Accept.

Accept Offer Steps

  1. Step 1 of 3: Review the information and select Next.
  2. Step 2 of 3:
    • Select “I understand and accept the conditions of admission.”
    • Select Save, then Next.
  3. Step 3 of 3: Confirmation page displays. The process is complete.

System result:

  1. A new DEIN program action row has been added to the Maintain Applications page.
  2. This action does not matriculate the applicant.
    • Matriculation must be completed separately.

Applicant Declines the Offer (Student)

  1. The applicant selects Decline.
  2. A confirmation page displays. Select Confirm.
  3. Select Next.
  4. The applicant responds to the decline survey questions.
  5. Select Submit.

System result:

  1. A new WAPP program action row has been added to the Application Program Data page.
  2. The offer has been officially declined.
