Assigning Evaluation Codes Manually
Purpose: Use this document as a reference for manually assigning evaluation codes in ctcLink.
Audience: Admissions staff
You must have at least one of these local college-managed security roles:
- ZC AD App Eval
- ZD AD App Eval
You must also set these SACR Security permissions:

Navigation
Navigation: Student Admissions > Application Evaluation > Application Evaluation
Step 1: Search for the Application
- Navigate to Application Evaluation.
- Enter the Academic Institution.
- Enter additional Search Criteria to identify the applicant
- Examples: Application Number, ID, Last Name / First Name
- Select Search.
- The Application Evaluation tab displays.
Step 2: Complete the Application Evaluation Tab
- On the Application Evaluation tab, enter or look up (🔍) the Evaluation Code.
- (Optional) Select Recalculate Evaluation if you want this application included in the next time the Application Status Update process is run.
- Enter any additional information as required by your institution or evaluation process.
- 📝Note: The Evaluation Code determines which rating components and tabs will be available later.
Step 3: Enter Overall Ratings
- Select the Overall Rating tab.
- Review the rating components displayed.
- These are driven by the Evaluation Code selected on the Application Evaluation tab.
- If new coursework, summaries, or supporting materials were added to the student record, select the appropriate check box.
- Enter Rating Values for each component that has been evaluated.
- Select the Evaluated check box for each completed component.
Step 4: Assign Committee and Committee Rating
- Select the Committee Rating tab.
- In the Committee field, assign a committee.
- This often defaults based on the Evaluation Code.
- In the Evaluation Status field, select the appropriate value.
- If your institution uses the Evaluation Code Assignment Process, this field may auto-populate.
- If not, you must enter the status manually.
- Review the Overall Rating:
- If evaluator ratings exist, the system automatically calculates the committee’s overall rating by averaging evaluator ratings.
- You may override this value if needed.
- If rating schemes are not used, you may enter an Overall Rating manually.
Step 5: Assign Evaluators and Enter Evaluator Ratings
- Select the Evaluator Rating tab.
- Use this tab to assign evaluators and record their ratings.
- Evaluators may be committee members or other individuals in the database.
- Enter an Evaluator ID.
- ⚠️Important: A committee must be entered on the Committee Rating tab before you can add an Evaluator ID.
- If a committee is entered, the first evaluator may auto-populate.
- Enter the Evaluation Status and any other required information for the evaluator.
- Review or enter the evaluator's Overall Rating.
- Select Save to record all evaluation information.
