Enter Non-PO Receipt

Purpose:  Use this document to create a Non-PO receipt in ctcLink.

Audience:  Buyer's, Receiver's, Finance - Purchasing staff

You must have at least one of these local college managed security roles:

  • ZZ Receipt Entry

You must also set these User Preference Definitions:

If you need assistance with the above security roles or User Preference Definitions, please contact your local college supervisor or IT Admin to request role access.

Enter Non-PO Receipt

Navigation:  Purchasing > Receipts > Add/Update Receipts

  1. On the Receiving search page, select the Add a New Value tab. Enter or look up Business Unit.
  2. Allow Receipt Number to default to "NEXT", unless there is a compelling reason to do otherwise.  The system will assign a unique receipt number later in this process.
  3. Ensure that the PO Receipt checkbox is unchecked.
  4. Select the Add button. The Maintain Receipts Receiving page will display. On the the Maintain Receipts Receiving page, select the Header Details link.  The Header Details page will display.
  5. On the Header Details page, view and enter receipt header information.
    1. Enter or look up Supplier.
    2. Enter or look up supplier Location.
    3. Enter or look up Ship To.
  6. Select OK.  The Header Details page will close.

  1. On Maintain Receipts Receiving page, use the Receipt Lines tab enter or lookup:
    1. Enter Description.
    2. Enter Receipt Qty.
    3. Enter or look up Recv UOM.
    4. Enter Receipt Price.
    5. Enter or look up Category.
  2. Select the Links and Status tab.

  1. Select the Distributions icon. The Receipt Distribution window displays.
  2. On the Details tab, enter or lookup Location.

  1. Select the ChartField Information tab. Enter ChartField value(s) information, such as GL Unit, Account, Oper Unit, Fund, Approp, Dept, Class, and State Purpose.
  2. Select OK to close the Receipt Distributions window.

  1. On the Maintain Receipts Receiving page, select the Header Comments/Attachments link.  
  2. On the Receipt Header Comments page, enter comments and/or attach associated documents.  
  3. Select the OK button to close the Receipt Header Comments window.

  1. Select the Save button to generate a Receipt ID for the receipt created. The Receipt Status will be updated.

Note: Possible Receipt Status Values are:

  • Closed (closed receipt)
  • Hold (hold receipt)
  • Moved (moved to destination)
  • Open (open)
  • Received (fully received)
  • Canceled (canceled)
