Marking P-Card Attachments Reviewed

Purpose: Use this document as a reference for marking procurement or p-card "attachments reviewed" in when reviewing/auditing/reconciling P-Card transactions in ctcLink.

Audience: Purchasing staff, Cardholders, Reviewers, or Approvers.

You must have at least one of these local college managed security roles:

  • CC_ADMINISTRATOR
  • CC_APPROVER
  • CC_RECONCILER
  • CC_REVIEWER
  • CC_USER_PO
  • CC_USER_REQ
  • ZZ Procurement Card Recon

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Best practices is for your Reviewer or Approver to mark the “attachment reviewed” check box following review of comments and attachments. This is only available at the LINE level and is available for audit purposes only. Don’t check it, until after reviewing it!

Marking P-Card Attachments Reviewed

Navigation: Purchasing > Procurement Cards > Reconcile > Reconcile Statement

  1. The Reconcile Statement Search page displays. Enter search criteria to identify your statement, some examples are:
    • Enter or lookup Employee ID.
    • Enter or lookup Name.
    • Card Number.
    • Billing Date.
    • Budget Status.
  2. Select the Search button.

  1. The Procurement Card Transactions page displays.  Use it to review, manage, and approve procurement card transactions loaded by the Load Statement process. You can view all of the procurement card transactions that you have been granted authority to access on the Cardholder Profile - Card Data: Assign Proxies page.
  2. Review the P-Card transactions.
  3. Select the Comment icon to review the comments and supporting attachments.

  1. The ProCard Comments window displays. Review Comments. Select the View button to open and review the associated documents.
  2. Select the OK button to close.

  1. The Procurement Card Transactions page displays. Select the Attachment Reviewed check box if you approve the comments and/or reviewed the associated document(s). Optional to review multiple line item(s) and mark the Attachment Reviewed checkboxes.
  2. Select the Save button to save changes.
