9.2 Transferring to Doubtful AR

Purpose:  Use this document as a reference for transferring outstanding receivables to doubtful AR in ctcLink.

Audience:  Accounts Receivable Specialist

You must have at least one of these local college managed security roles:

  • ZZ AR Item Entry

You must also set these User Preference Definitions:

Transferring to Doubtful AR

Navigation:  Accounts Receivable > Receivables Maintenance > Transfer Worksheet > Create Worksheet

  1. The Create Worksheet search page displays.  It defaults to the Find an Existing Value tab.  In this example, we'll create a new worksheet.
  2. Select Add a New Value.  The Add a New Value page displays.
  3. Select Transfer Business Unit.
  4. Leave Transfer Worksheet ID at its default value of 'NEXT', unless you have a reason to enter a specific ID.
  5. Select Add.

  1. The Transfer Selection page displays.  Use it to specify customer and item information that should appear on the worksheet.  ctcLink uses criteria information to retrieve all items matching the selection criteria when the worksheet is built.
    1. Use the Customer Criteria drop-down button to select the ‘Customer Items’ options.
    2. Enter or select the appropriate customer in the Cust ID field.
    3. If it didn’t default in, enter or select the appropriate business unit in the Business Unit field.
    4. Select Build Doubtful.

  1. The Worksheet1 page displays.  Use it to select the customer item(s) to be transferred.
    1. Select the doubtful line item(s) using the checkboxes provided in the Sel (Selection) column on each line.
    2. Select Save.
    3. The Balance section is automatically updated with new amounts and counts.
    4. Select Worksheet Action.

  1. The Finalize Worksheet page displays.
  2. Select Create/Review Entries.

  1. The Update Accounting Entries page displays.
  2. Verify the ChartFields and amounts are correct.
  3. Select Return to Previous Panel.

  1. The Finalize Worksheet page displays.
  2. Use the Action drop-down button to select the ‘Post Now’ option.
  3. Select OK.

  1. The Process Monitor opens in a new window.  Refer to the Process Monitor QRG for instructions.
  2. Use the Process List page to view the status of submitted process requests.

Note: The process has finished successfully when the Run Status column indicates ‘Success.’

  1. Close the Process Monitor window.
  2. Process complete.
