ctcLink Pillar Login Report

Purpose:  Use this document as a guide for running the Pillar-specific queries that help answer the question "Which staff and students have not yet logged into ctcLink?"

Audience:  Local Security Administrators

There are two things we get asked about the most related to this:  Who hasn’t activated in Okta (we can’t get a report from Okta, but we can discern who is a likely candidate by who hasn’t logged into any pillar); AND, which employees have not logged into Employee Self Service, which is the FIRST thing we want all employees to do.  So, if someone logs in, but  ignores HCM and goes straight into doing their work in CS or Finance, then the college would want to know who has ignored the directive to go into HCM and check their bio/demo stuff out.

Here are four queries - 1 each for HCM and FSCM, 1 for CS Staff, 1 for CS Students - that can help us gather some likely suspects.

HCM Pillar

Navigation:  NavBar > Navigator > Reporting Tools > Query > Query Viewer

  1. The Query Viewer search page displays.
  2. Enter "QHC_SEC_USER_NO_LOG_IN_BY_UNIT"
  3. Click the Search button.

  1. To open the results in Excel, click the Download Results In: Excel SpreadSheet link.

  1. At the pop-up window for Opening QHC_SEC_USER_NO_LOG_IN_BY_UNIT, click the radial button labeled Open with: Excel and click OK.

NOTE: The extract file will display as 'blank' in the email address field for any user that does not have a college specific email address.  This does not mean that the user does not have an email address on file with HR.  The user likely will have a private/home email account listed on the HR Bio/Demo record.  You can work with HR to determine if the employee should have that value updated to reflect a college assigned email address.

Navigation:  NavBar > Navigator > Reporting Tools > Query > Query Viewer

NOTE: It is highly likely that the majority of your employee population will not have logged into the Finance Pillar.  You may choose to export and review only for those in a Finance relevant position.  All employees are granted link and tile access to the Finance Pillar for the purposes of managing their Travel & Expense reporting, but may not find a need to utilize this system until such time as travel activities for which reimbursement is needed occurs.

Note: The email address for employees resides in the HCM pillar.  Email address information in the CS pillar for employees could be out of sync as updates made in the CS Pillar to Bio/Demo data does not sync to HCM, since the HCM Pillar is the "system of record" for Employee Bio/Demo data.

CS Pillar - Students

Navigation:  NavBar > Navigator > Reporting Tools > Query > Query Viewer

  3. Click the Search button.
