CS - SACR Security: Enrollment Security

Purpose:  Use this document as a reference for applying Enrollment security in ctcLink.

Audience:  Local Security Administrators

Prerequisites

To configure Enrollment Security, the user performing the setup must have one of the following roles:

  • ZZ Local Security Admin
  • ZZ Local SACR Security Admin

A staff member must also meet the following requirements before Enrollment Security can be assigned:

  1. Active User Profile in Campus Solutions.
  2. SACR Security Basic Requirements established for their User ID (Academic Institution Security, Institution/Campus Security, Institution/Career, Academic Org Security).

⚠️Enrollment security is required for all staff who perform enrollment activities. Colleges may choose the level of enrollment access appropriate for each user.

Security Roles That Require Enrollment Security

Institution Assignment (SACR Defaults)

Enrollment Security applies to the Institution defined on the user’s SACR User Defaults page.

⚠️For multi-campus districts:

  • Users who enroll students at more than one campus must switch their default Institution (e.g., WA062 → WA063 → WA064) depending on where they are performing enrollment.

Set Up SACR> Security> Secure Student Administration> User ID> Enrollment Security

  1. Enter the User ID (must be known—no name search).
  2. Click Search.

Enrollment Access ID Options

A global set of Enrollment Access IDs exists for all colleges. Select the appropriate ID using the look-up tool (🔍) next to Enrollment Access ID. Below is a summary of each ID.

Expand or collapse content RALL - Registration All Access

Highest level of enrollment access.

  1. No time limitations on:
    • Enrollment changes.
    • Drops.
    • Grade changes.
    • Grade basis changes.
    • Unit changes.
    • Waitlist actions.
    • Repeat coding.
    • Requirement designation.
    • Optional changes.
    • Instructor choice changes.
  2. Enables all General and Class Overrides.
  3. When paired with ZZ SS Faculty, users may change student grades in Faculty Center.

Expand or collapse content REG1 - Basic Registration Access
  1. No time limits for:
    • Enrollment changes.
    • Drops.
  2. Restrictions:
    • Grade Basis Change → through end of term.
    • Unit Changes → through end of term.
    • Waitlist Changes → until end of add date.
  3. No access to:
    • Grade add/change.
    • Repeat coding.
    • Requirement designation.
    • Optional changes.
    • Instructor choice changes.
  4. Allows:
    • All General Overrides except Career changes (CNED/UGRD).
    • All Class Overrides except Class Links.
REG1
Expand or collapse content REG2 - Registration Access without the Ability to Override Class Unit
  1. No time limits for:
    • Enrollment changes.
    • Drops.
  2. Restrictions:
    • Grade Basis Change → through end of term.
    • Waitlist Changes → until end of add date.
  3. No access to:
    • Unit changes.
    • Grade adds/changes.
    • Repeat coding.
    • Requirement designation.
    • Optional changes.
    • Instructor choice changes.
  4. Allows:
    1. All General Overrides except Career changes.
    2. All Class Overrides except Class Links, Class Units, and Requirement Designation.
REG2
Expand or collapse content REG3 - Registration Access with the Ability to Assign Repeat Coding
  1. No time limits for:
    • Assigning repeat codes.
    • Enrollment changes or drops.
  2. Restrictions:
    • Grade Basis Change → through end of term.
    • Waitlist Changes → until end of add date..
    • Unit Changes → through end of term.
  3. No access to:
    • Grade adds/changes.
    • Requirement designation.
    • Optional changes.
    • Instructor choice changes.
  4. Allows:
    • All General Overrides except Career changes and Class Links.
REG3
Expand or collapse content RLIM - Limited ENRL Access
  1. May perform enrollment transactions and enrollment with permissions through end of term.
  2. Cannot perform:
    • Drop transactions.
    • Grade changes.
    • Unit load changes.
    • Repeat coding.
  3. No General Overrides allowed.

  1. The STUD Enrollment Access ID should NOT be assigned to staff or manually assigned to students.
  2. Capabilities:
    • Self-service enrollment → until end of add date..
    • Enrollment with permission → until enroll with permission date.
    • Drops → until end of drop date.
    • Add to waitlist → until end of add date.
  3. Allows Wait List Okay General Override.
STUD

Default Override Options

  1. In the Default Override section, you may grant additional permissions:
    • Override Closed Classes.
    • Override Unit Load.
    • Override Class Permissions.
    • Override Requisites.
    • Override Time Conflicts.
    • Wait List Okay.
  2. Select all overrides appropriate for the user’s responsibilities.
  3. When all selections are complete, click Save.
  4. Click Return to Search to assign access for additional users.
