9.2 Viewing Item Accounting Entries

Purpose: ctcLink Receivables enables you to view detailed information on accounting entries for each activity against an item.

Audience:  Accounts Receivable Staff.

Please note that not all search steps are mandatory.  As long as the Business Unit and one other field is chosen, you can initiate your search.  However, the more information you have, the better your search results will be.

You must have at least one of these local college managed security roles:

  • ZC AR Customer Maintenance
  • ZZ AR Customer Maintenance

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Viewing Item Accounting Entries

Navigation:  NavBar > Navigator > Accounts Receivable > Customer Accounts > Item Information > View/Update Item Details

  1. The View/Update Item Details search page displays.
  2. Select Business Unit.
  3. Select Customer ID.  
  4. Select Item ID
  5. Select Search.
View Update Item Detail search page
  1. The Detail 1 page displays.  Use it to:
    1. Change discount, payment, and draft options for an item.
    2. Put an item in dispute or collections.
    3. Mark an item as a deduction.
    4. Assign item owners.
    5. Set the revaluation flag and make an item available for accounts receivable and accounts payable netting.
  2. Select Item Accounting Entries.
Detail 1 page
  1. The Item Accounting Entries page displays.  Use it to:
    1. View the accounting entries for each item activity.
    2. The Item Activity scroll area displays all of the accounting entries for each activity for the item. 
    3. The Entry Type field identifies the type of activity. 
    4. The Accounting Lines grid displays the ChartField values for each line.
    5. Use the Accounting Information tab to view item accounting entry information.
    6. Select the Line Information tab.

  1. The Line Information section displays.  Use it to view brief descriptions about the item accounting entries.
  2. Select the Document tab.
Line Information section
  1. The Document section displays.  Use it to view document sequencing information.
  2. Select the Journal Reference Information tab.
Document section
  1. The Journal Reference Information section displays.  Use it to view item accounting entry information.
Journal Reference Information section
  1. Process complete.
