Review 1042-S Employee Information

Purpose:  Use this document as a reference to review and audit tax data for non-resident aliens and foreign payees to support specific setup for NRA processing and report income that may be subject to Tax Treaty Exemptions. 

Audience:  Payroll Administrator.

You must have at least one of these local college managed security roles:

  • ZC Payroll Data Maintenance
  • ZZ Payroll Data Maintenance
  • ZZ Payroll Processing

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation:  Menu > Payroll for North America > US Annual Processing > 1042-S Reporting > 1042-S Employee Information

The 1042-S Employee Information Search page displays.

  1. Enter the Tax Year.
  2. Enter or look-up the employee ID number in the Empl ID field.
  3. Select the Search button.

The 1042-S Employee Information page displays.

  1. Select the Show History / Hide History button is a toggle to display or hide the rows of changes to Employee Information Details that have been saved using Amend Data.
  2. Select the Amend Data button to change or correct items of data shown in Employee Information Details section.
  3. The Sequence Number is incremented by +1 each time Amend Data is used to save a change to information in the Employee Information Details section.

  1. When the Amend Data button is selected, various fields become editable in the Employee Information Details section. In the image below, Address Line 1 is corrected from “10101 First St” to “090909 Tenth Ave” and the National ID is corrected from “999999999” to “111111111”. Previously missing values are added for Postal Code and the Sequence Number increments to "2".
  2. Select the Save button when changes are complete.

NOTE:  Changes made using the Amend Data feature on this page are over-written (lost) if the Load 1042-S Year End Data process (TAX951LD.SQR) is subsequently re-run.

After running TAX951LD.SQR to load Form 1042-S data, you can also review the 1042-S Year End Data that will be included in Form 1042-S records and make changes or corrections before creating the actual Form 1042-S records that will be used to print forms and create the electronic file.
