1099-R Processing
Purpose: Use this document as a reference for processing 1099-R data in ctcLink.
Audience: Central Payroll (SBCTC)
You must have at least one of these local college managed security roles:
- <there are no college-grantable roles>
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
1099-R Processing
Navigation: Payroll for North America > U.S. Annual Processing > 1099-R Reporting > Form 1099-R Audit Report
- The Form 1099-R Audit Report page displays.
- If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and click the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and click the Add button.
- NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Institution, Process).
- The Form 1099-R Audit Report page displays.
- Enter the applicable Distribution Code.
- Select the Total Distribution option if applicable.
- Enter the Earnings Codes that are used.
- Select the Run button.
- The Process Scheduler Request page displays.
- Select the OK button.
- Please refer to the Process Scheduler Request steps for further instructions.
- Select the tax930au_XXXXXX.PDF (The X’s represent the Process Instance number) link.
- Review the report for accuracy.
- The process to run the 1099-R Audit Report is now complete.
Navigation: Payroll for North America > U.S. Annual Processing > 1099-R Reporting > Create 1099-R
- The Create 1099-R run control search page displays.
- If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and click the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and click the Add button.
- NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. - The Create 1099-R page displays.
- Select the 1099-R Process Parameters tab.
- Select the Type of Processing.
- Enter the Distribution Code.
- Select the appropriate Layout Style.
- Select the Total Distribution option if applicable.
- Enter or select the appropriate Earnings Code(s).
- Select the 1099-R Transmitter Info tab.
- The 1099-R Transmitter Info tab displays.
- Select the applicable options within the Transmitter Information section.
- Enter the:
- Contact’s Name,
- Contact Email Address,
- Phone and
- Control Code.
- Select the Run button.
- The Process Scheduler Request page displays.
- Select the OK button.
- Please refer to the Process Scheduler Request steps for further instructions.
- Select the tax930pm_XXXXXX.PDF (The X’s represent the Process Instance number) link.
- The process to create the 1099-R is now complete.

- The Form 1096 Report run control search page displays.
- If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and click the Search button. - Select the tax935_XXXXXX.PDF (The X’s represent the Process Instance number) link.
- Review for accuracy.
- The process to create the 1096 Report is now complete.
