Entering Deaths
Purpose: Use this document to enter deaths into ctcLink.
Audience: Human Resources staff.
You must have at least one of these local college managed security roles:
- ZC HR Employee Maintenance
- ZD HR Central Config VW
- ZD HR Admin View Job Data
- ZD Benefits Employee Data Inq
- ZD HR Employee Maintenance VW
- ZD HR Limited Person Job Info
- ZZ HR Employee Maintenance
- ZZ SS Workforce Administrator
- ZZ FWL HCM Pay Process

Enter Deaths
Navigation: Workforce Administration > Job Information > Job Data
- The Job Data search page displays.
- Enter the desired information into the Empl ID field.
- Select the Search button.
- If employee has multiple Empl Records, select the applicable record from the Search Results.
- The Job Data page displays.
- Use the Work Location page to enter position and location information for a person's job, including the regulatory region, company, department, and location.
- Select the Add a new row button.
- The system treats the effective date that you enter as the day the termination starts and the first day that the worker is no longer paid.
- Select the Action menu and choose the Termination item from the drop-down menu.
- Select the Reason menu and choose the Death item from the drop-down menu.
- Select the Save button.
- After selecting the Save button, you may receive a message like the one below. Carefully read the instructions and then select the OK button.
- You may receive another warning message like the one below. Carefully read the instructions and then select the OK button.
- You must now navigate to the Biographical Details page to record the actual date of death.
Biographical Details
You must have at least one of these local college managed security roles:

- ZD HR Inquiry
- ZD HR Central Config VW
- ZD HR Employee Maintenance VW
- ZD HR Limited Person Job Info
- ZZ HR Employee Maintenance
- ZZ SS Workforce Administrator

Navigation: Workforce Administration > Personal Information > Modify a Person
Use the Biographical Details page to enter a name and other biographical information.
Use the Date of Death field to record the date that the worker died. The system provided a default date as one day prior to the termination due to death date. You can override this value if needed.
- The Modify a Person page displays.
- Enter the desired information into the Date of Death field.
- Scroll down to select the Save button.
- After selecting the Save button, you may receive a message like the one below.
- Carefully read the instructions and then select the OK
- You can now navigate to the Person Organizational Summary page to review your changes.
Person Organizational Summary
You must have at least one of these local college managed security roles:
- ZC HR Employee Maintenance
- ZD HR Inquiry
- ZD HR Central Config VW
- ZD HR Employee Maintenance VW
- ZZ HR Employee Maintenance
- ZZ SS Workforce Administrator

Use the Person Organizational Summary page to review a summary of a person's organizational relationships.
The system displays the termination effective date as the Termination Date, and the day before the termination date as the last date worked. The system uses these dates and the effective date in payroll processing and reporting.
Navigation: Workforce Administration > Personal Information > Person Organizational Summary
- The Person Organizational Summary page displays. Review the summary.
