9.2 Reporting Time Quickly

Purpose: Use this document as a reference for how to report time quickly in ctcLink.

Audience: Time and Labor Administrator.

You must have at least one of these local college managed security roles:

  • <there are no college-grantable roles>

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Reporting Time Quickly

Navigation: NavBar > Navigator > Time and Labor > Report Time > Rapid Time

  1. The Rapid Time search page displays.
  2. Select the Add a New Session tab.

  2. Enter a Description of the time being entered (Ex. Bi-Weekly Time).
  3. Select the template type from the Template Type drop-down menu.
  4. Select CTC_ELAPSE from the Template drop-down menu.
  5. Select an option from the Processing Mode drop-down menu. Options include:
    • Addition: adds a new instance of time for the day without replacing any time that was previously reported for the same day.
    • Correction: deletes all time previously entered for the day and regenerates new time.
    • Replacement: replaces any time that was entered for the same dates using either the Rapid Entry page or the Mass Time Reporting page with the time you are entering now. Only time originating from those two sources is replaced by the new instance of time. Time that originated from any other source, such as the Timesheet page, is not changed).
Rapid Session Information section
  1. Enter the Empl ID in the Rapid Detail Information section.
  2. Enter the Date.
  3. Enter the TRC (Time Reporting Code).
  4. Select the Copy Down Values from the Last Row checkbox if copying information from the entered row.
  5. Enter the amount of rows needed for entering time in the Rows to Add field.
  6. Select the Add Rows button.
  7. Update the date fields for the added rows.

Note: The information entered must be correct. Invalid transactions appear on the Manage Exceptions pages for manager or Payroll Administrator review. All time transactions are converted to reported time, whether exceptions are created or not. For those reported time entries that have related exceptions, the time can be corrected in the time reporting pages.

  1. Select the Submit button.

  1. A confirmation message displays.
  2. Select the OK button.

  1. The Rapid Time page displays.
  2. Note the Session Number field change and the Last Updated field showing the date and time of the submission.

  1. The process to report time quickly is now complete.
  2. End of procedure.

Do employees who enter their hours using rapid time then have to go in on the last day of the pay period and submit their hours for the pay period? Or is this done automatically for them?

Hi Kate - thank you for your question. This process is completed by a Time & Labor Admin, not an employee.
