9.2 Sending or Rejecting Correspondence
Purpose: Use this document to send or reject correspondence to job candidates in ctcLink.
Audience: TAM, HR Core, Recruiters.
You must have at least one of these local college managed security roles:
- ZZ Hiring Manager
- ZZ Interested Party
- ZZ Recruiter
- ZZ Recruiting Admin Local
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Sending or Rejecting Correspondence
Navigation: Recruiting > Search Job Openings
- The Search Job Openings search page displays.
- Enter the Job Opening ID.
- Select the Search button.
- The Search Results display.
- Select the Job Opening link. (Link will be in blue text).
- The Manage Job Openings page displays.
- On the Applicants tab, select the applicant(s) to send correspondence.
- Select the Group Actions link.
- The Sub-menus display.
- Select Applicant Action.
- Select Send Correspondence.
- The Send Correspondence page displays.
- The options are:
- Recipients
- Message Type and Method
- Recipient Info
- Sender Info
- Message
- Attachment
- Select the desired Message Type and Method from the drop-down menu.
- Add Recipient Information.
- Add Message for the applicant.
- Preview the Message, then select Submit.
- A confirmation message displays; review and select the OK button to close.
Sending a Correspondence process is complete.
Navigation: Recruiting > Search Job Openings
- The Search Job Openings page displays.
- Enter the Job Opening ID.
- Select the Search button.
- The Search Results displays.
- Select the Job Opening link.
- The Manage Openings page displays.
- From the Applicants tab, select the applicant(s) to send correspondence.
- Select the Group Actions link.
- Select Recruiting Action.
- Select Reject Applicant.
- The Reject Applicant page displays the applicants selected and the disposition.
- Select the desired Reason from the drop-down menu.
- Select the Reject or Reject and Correspond button.
- The Send Correspondence page displays.
- Select the Message Type and Method from the drop-down menu.
- Add Recipient Information.
- Add Message for the applicant.
- A message will appear, review and select the OK button.
- Select Submit.
- A message page displays.
- Select the OK button.
Rejecting Correspondence process complete.
