OAAP Reviewing In-Progress Applications

Purpose: Use this document as a reference for viewing in-progress applications using the OAAP Dashboard in ctcLink.

Audience: Admissions Staff.

The In-Progress Dashboard displays the count of the In-Progress Applications.  In addition to providing counts, staff can view a student’s in-progress application. Viewing a student’s in-progress application will allow staff to assist further students who are having difficulties submitting their application.

Sign In to the OAAP
  1. Enter your Username (EMPLID).
  2. Select the Sign In button.
  3. The Okta login page will appear with your ctcLink ID pre-populated in the ctcLink ID field.
  4. Select the "Keep me signed in" checkbox to stay logged in even after closing the web browser. When users return to the protected application from the same device and browser, they are automatically logged in without reentering their credentials.
  5. Select the Next button.
    • Unlock account? In the event that you are unable to access your account, click on the "Unlock account?" link and provide your username and email address when prompted.
    • Help. If you encounter difficulty logging in with your credentials, click the Help link to connect with the college to which you are applying for admissions.
  6. The OAAP Password page displays.
  7. Enter your password in the Password field. Select the eye icon to reveal the password. Click the eye icon again to conceal it. If you enter your password but don't select the Verify button, the screen will time out, and you will receive an "Unable to sign in" message. In that case, please select the "Back to sign in" link at the bottom of the page.
  8. Click the Verify button.
    • Reset Password. After clicking the "Reset Password" link, your browser will redirect you to a page where you can select the "Send me an email" button. After clicking the button, a message will appear on your screen: "We sent an email to your email address. Click the verification link in your email to continue or enter the code below." Access your email and click the Reset Password button to display a verification code to enter on the password reset page. By resetting your password with your ctcLink ID, you are also changing your password for ctclink.
    • After clicking the Verify button, the Verify it's you with a security method page displays. Verify your account using one of the available verification methods
  9. A "Get a verification email" or "Verify with your phone" page appears depending on your verification method. Choose to receive a code, then retrieve it from your source (email, text, etc.).
    • Verify with something else. Selecting the Verify with something else link directs you to the Verify it's you with a security method page. If you have configured additional Okta password recovery options, you can reset your Okta password.
  10. The Verify box appears. Enter the code received from your source and click the Verify button.
  11. The OAAP Dashboard displays. .

OAAP In-Progress Applications
  1. Sign in to the OAAP.
  2. Enter your username and password and click the "Sign In" button to access the OAAP Dashboard.
  3. Once logged in, the OAAP Dashboard will be displayed for the admin.
  4. Select "In-Progress Applications" from the left-side navigation.
  5. The In-Progress Applications page will then be displayed.
  6. To view a student's in-progress application on the In-Progress Applications page, search for their name in the "Name" column.
  7. Once you've located the student, select the Application ID number hyperlink in the "Application ID" column (the first column on the page).
  8. The student's in-progress application will be displayed. There will be instances when students receive the "Please fill the Mandatory Fields!" message when submitting their admissions application. If students cannot locate the mandatory field(s), they can save the application and contact your admissions office.
  9. Review the in-progress application to assist the student, for example, if residency information is missing.
  10. Select the arrow at the top of the page to return to the In-Progress Applications page.
  11. The In-Progress Applications page will be displayed again.
  12. Process is complete.

OAAP In-Progress Applications Data Download
  1. To download In-Progress Application Data from OAAP:
  2. College staff will sign in to OAAP. To access In-Progress Application data, college staff members will need one of the following OAAP Security Levels:
    • College Admin
    • College Admin with Student Account
    • District Admin
    • District Admin with Student Account
  3. On the left-hand menu, select In-Progress Applications
  4. At the top of the In-Progress Applications page, select the Filter icon.  and choose the applicable filter criteria.

  1. After selecting the Filter icon, choose from a selection of filter options.

  1. Once you have selected a filter, one or more fields will appear for entering data depending on your filter selection. Enter the applicable filter data, then select Apply. For this example, the Modified Date Range filter option is selected.
  2. The filter results will be displayed on the page. To download the results, select the Download icon.
