Update OAAP Academic Plan Exclusions Configuration

Purpose: This document is a reference for updating the OAAP Academic Plan Exclusions configuration. Academic Plans added to this configuration table will not display as an option to students when applying via OAAP.

Audience: Admissions Staff.

You must have at least one of these local college-managed security roles:

  • ZC OAA College Config
  • ZD OAA College Config

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Supplemental Information:

Your college can control what does and does not display on your OAAP for student selection. While it doesn’t hurt anything, maintaining your list of exclusions is a nice tidy-up. Academic Plans that end their lifecycle have an inactive row added. Inactive plans may confuse staff if they are on your Exclude List.

All active Academic Plans will appear on OAAP unless a college adds them to this configuration. If your college has recently requested CS Customer Support to configure new Academic Plans for you, they will display by default in OAAP. It may be necessary for admissions staff to coordinate with their Curriculum or Academic Programs department.

Add an Academic Plan to the (OAAP) Academic Page Configuration

Navigation: Ciber Solutions > Online Admissions > Admissions Configuration > Academic Page Configuration

  1. The Academic Page Configuration page displays and defaults to the Find an Existing Value tab.
  2. The default option is Find an Existing Value. To view the existing Academic Institutions, select Search or click the looking glass to look up the Academic Institution. Users can click the Advanced Search link next to the Search button to look up their institution code if unknown.
  3. To view and update the configuration, select the Correct History checkbox. To view the configuration only and not make updates, select the Include History checkbox. Users with only the ZD OAA Config role will not have the Include History or Correct History checkbox options and can skip to the next step.
  4. The Academic Plan Exclusion Config page displays.
  5. Each Academic Plan is associated with a specific Academic Program and is arranged according to a hierarchical structure. Users must first navigate to the higher-level Academic Program before making any adjustments to Academic Plans associated with it. On the panel's top-right corner, click on the arrow to select the Academic Program you want. Note: It is not possible to conceal sub-plans from the OAAP. If such a plan has an associated sub-plan, the sub-plan will appear for the student in the drop-down menu under "Academic Focus Area" in the OAAP.
  6. Select the Add a New Row [+] button in the Exclude Values section on the right side to add an Academic Plan to this configuration. Note: It does not matter which Add a New Row [+] button you click in the Exclude Values section. Once you have finished updating the configuration and saved the page, it will automatically re-sort the Academic Plans alphabetically by Plan Code (left-most column).
  7. Click the lookup tool (magnifying glass icon). A Look Up Academic Plan pop-up window will display.
  8. Click the Advanced Lookup link.
  9. The Advanced Search fields display on the Look Up Academic Plan pop-up window. Search for the Academic Plan you want to exclude from OAAP using the available search fields.
    1. Tip #1: Select the applicable Academic Program so you narrow your search within the list of Academic Plans configured for that Academic Program.
    2. Tip #2: The Academic Plan search field searches for the Academic Plan Code A-Z. If you do not know the exact Academic Plan code, search by Academic Plan Description.
    3. Tip #3: Search fields typically default to the parameter "begins with." Suppose you do not know precisely how the original Academic Plan configuration was set up. In that case, changing the search parameter to "contains" can be helpful, which will broaden your search results.  
  10. The search results will appear once you click the lookup button. From the results of your search, select the appropriate Academic Plan. The information will appear in the newly added row.
  11. At the bottom of the page, click Save after updating the applicable changes.
  12. Process complete.
Remove an Academic Plan from the Academic Page Configuration
  1. To remove an Academic Plan from this configuration so it does display on the OAAP, find the one you want to withdraw from the configuration. Upon removal of this Academic Plan from this configuration, it will be available for students to apply to in the OAAP. Academic Plans are sorted alphabetically by plan code (left-most column). To re-sort alphabetically by description, click the Description link.
  2. Select the Delete Row [-] button to remove the applicable Academic Plan.
  3. A Delete Confirmation pop-up message will display asking you to confirm. Click OK to continue to delete this Academic Plan, or Cancel to go back without deleting the Academic Plan.
  4. At the bottom of the page, click Save after updating the applicable changes.
  5. Process complete.
