OAAP Security Access
Purpose: This document outlines how college local security administrators (LSAs) can request staff security access changes in the Online Admissions Application Portal (OAAP).
Audience: LSAs and Admissions staff
As of August 2024, a college LSA must request all OAAP security access changes. Colleges are responsible for understanding their business processes and determining which staff members require particular security levels to perform these tasks effectively. For example, the Student Account Only role is limited to resetting passwords or editing emails. If an employee needs to research applications and reset passwords, they will require a different role, such as College Admin with Student Account access.
Adding OAAP Security Access
The security access page in OAAP is global. Therefore, all security changes are completed by the Campus Solutions Core (CS Core) functional team upon college request.
There are multiple security role options for college staff in OAAP. To request security access changes, LSAs must submit a support ticket to CS Core for each individual requiring access. CS Core will make the change in OAAP based on the college’s request.
Please include this information in your ticket request:
- Ticket Request Type: ctcLink Support > Security Issue > OAAP Security

- First name
- Last name
- EMPLID
- OAAP Security Level (choose from the following options)
- College Admin
- College Admin with Student Account
- District Admin
- District Admin with Student Account
- Student Account Only
Removing OAAP Security Access
The security access page in OAAP is global. Therefore, all security changes are completed by the Campus Solutions Core (CS Core) functional team upon college request.
To remove OAAP security access for a staff member, LSAs must submit a support ticket to CS Core for each individual requiring access to be removed.

- Ticket Request Type: ctcLink Support > Security Issue > OAAP Security

OAAP Security Levels Defined
Access and Features:
This role provides access to OAAP configurations for your college, including Institution Information, Terms Setup, and Waiver Setup. Staff members with this role can also view in-progress and submitted applications for your college.
Use Cases:
- Modify or update configurations specific to the college, such as updating waiver or term settings.
- Monitor the status of submitted and in-progress student applications.
Access and Features:
Staff members with this role have the same access as College Admins and can access the OAAP Account Management and Audit Log pages.
Use Cases:
- Reset student passwords or update email addresses.
- Audit changes made to student accounts or configurations.
- Modify or update configurations specific to the college, such as updating waiver or term settings.
- Monitor the status of submitted and in-progress student applications.
Access and Features:
This role provides access to OAAP configurations for your district (meaning multiple colleges), including Institution Information, Terms Setup, and Waiver Setup. Staff members with this role can also view in-progress and submitted applications for your district.
Use Cases:
- Manage configurations at a district level for consistency across colleges.
- Monitor applications from a district-wide perspective.
Access and Features:
Staff members with this role have the same access as District Admins and can access the OAAP Account Management and Audit Log pages.
Use Cases:
- Provides access to OAAP configurations for your district, covering multiple colleges.
- Includes Institution Information, Terms Setup, and Waiver Setup.
- Allows viewing in-progress and submitted applications across the district.
- Reset student passwords or update email addresses across multiple colleges.
- Perform district-level audits for account management and changes.
Access and Features:
This role is granted access to the OAAP Account Management and Audit Logs pages; however, it does not include access to OAAP configurations or applications that are currently in progress or have been submitted.
Use Cases:
- Reset student passwords or update email addresses.
- Audit account-related management and changes.
Resetting Passwords and Updating Emails:
One significant benefit of these security roles is the ability of designated staff to assist students by resetting passwords or updating email addresses directly. This functionality, introduced as part of the OAAP enhancements, streamlines account management and reduces support delays.

Configuration Management:
Roles with configuration access (College Admin and District Admin) are designed to ensure each institution can manage its specific business processes while maintaining alignment with district-wide goals. Staff should identify key personnel responsible for these tasks.
