Copy Existing Travel Authorization
Purpose: Use this document as a reference on how to copy an existing travel authorization using the Classic Navigation in ctcLink.
Audience: All staff.
From the ctcLink Gateway main page, navigate to Financials Employee Self Service by selecting either the Financials Self-Service tile or the FSCM link.
Note: You can only copy an existing Travel Authorization if it's for the same employee.
Navigation: FSCM Employee Self-Service menu Travel and Expenses Travel Authorization Create/Modify
- The Employee Self Service page displays. Select the Navigation Menu icon.
- Select the Menu icon.
- Follow the navigation: Employee Self-Service > Travel and Expenses > Travel Authorizations.
- Select Create/Modify.
- The Travel Authorization search page displays. Select the Add a New Value tab.
- Enter the appropriate EMPL ID.
- SelectAdd.
- The Create Travel Authorization page displays.
- From the Quick Start menu, select the drop down arrow and select An Existing Authorization.
- Select the Go button.
- The Copy from an Existing Travel Authorization window opens displaying results.
- Select the travel authorization to be copied.
- The Create Travel Authorization page displays. All fields from previous Travel Authorization have now been copied.
- Use the arrows to review and update fields as necessary, paying close attention to *Dates and *Accounting Details.
- Select the Summary and Submit if ready to submit (or select Save for Later if not ready to submit).
Note: Use the Attachments hyperlink to add necessary documents.
- The Summary and Submit page displays. Select the 'By checking this box, I certify these costs are reasonable estimates and comply with expense policy'.
- Select the Submit Travel Authorization button.
Review the summary page as necessary. Toggle back and forth from the Summary and Submit page and the Travel Authorization Details page by selecting the hyperlink in the top right corner of the screen.
- The Travel Auth Submit Confirm window opens. Select OK.
- The Travel Authorization summary page updates generating an Authorization ID number and the option to select Refresh Approval Status button to view the Approval History.

Navigation: Employee Self-Service > Expenses Tile > Create Travel Authorization Tile
- The Travel Authorization (TA) Entry page displays. The TA Entry page will default to your own Employee ID, i.e. Phoenix Reed. If you are authorized to enter a travel authorization on behalf of someone else, then you will need to look up the Employee ID first. If you are entering on behalf of someone else, in the top left corner of the page, select the three dots to the right of your name. Select Change Employee.
When the Change Employee link is selected, the Employee Search window displays. Enter or search for the specific Employee ID and select the side double arrows button.
- Use your own or select the Name/Empl ID that populates. The Travel Authorization Entry page displays.
- Select Populate from Travel Authorization on the left side of the page.
- The Select Travel Authorization window opens displaying results.
- Update the From and To dates as needed.
- Select the Travel Authorization to be copied.
- The Travel Authorization page displays. All fields from previous Travel Authorization have now been copied.
- Review and update fields as necessary, paying close attention to *Dates, Descriptions and *Accounting Details.
Note: Use the Attachments button to add necessary documents.
- Select the Submit button if you are ready to submit (or select Save if not ready to submit).
- The Submission Confirmation window displays: CERTIFICATION: This is to certify that the data contained in this travel authorization is accurate and complies with expense policy.
- Select the OK button.
- Process complete.
