Viewing and Modifying Travel Authorizations

Purpose: Use this document as a reference for viewing and/or modifying travel authorizations in ctcLink.

Audience: Travelers; Finance and Business Office staff

From the ctcLink Gateway main page, navigate to Financials Employee Self Service by selecting either the Financials Self-Service tile or the FSCM link.

Viewing Travel Authorizations

Navigation: Please refer to the View Travel Authorization QRG.

Expand or collapse content Modifying Travel Authorizations (Classic)

Navigation: FSCM Employee Self Service > Travel and Expenses > Travel Authorizations > Create/Modify

  1. The Travel Authorization search page displays.
  2. Select a Search By type and associated value:
    • Authorization ID
    • Creation Date
    • Description
    • Empl ID
    • Name
    • Status
  3. Select Search.
  4. The Modify Travel Authorization page displays.
  5. Select Expand Accounting Lines to expose the ChartFields.
  6. Enter your modifications. Use the Add a New Row [+] icon to create additional authorization lines.
  7. Select Save for Later.
  8. Process complete.

Select the Attachments link or paperclip icon to add supporting documents to a line item or the entire travel authorization. If the paperclip does not have a green plus [+] next to it, there is already an existing document linked.

Expand or collapse content Modifying Travel Authorizations (Fluid)

Navigation: Employee Self-Service Fluid Home Page > Expenses Tile > Travel Authorizations

  1. The Employee Self Service page displays. Select the Expenses tile.
  2. The Expenses employee self-service page displays. Select the Travel Authorizations tile.
  3. The Travel Authorization search page displays.
  4. Select a section from the left side of the page (The section you select will depend on what sections you have Travel Authorizations in. You cannot edit Travel Authorizations that are Denied, Submitted or Approved).
  5. To Refine your search, select the three horizontal lines above the Action column and enter your associated search value:
    1. Description.
    2. Date From.
    3. Date To.
    4. Business Purpose.
    5. Location.
  6. Click on the right arrow to select the Travel Authorization you want to modify and the Travel Authorization page displays.

If you cannot see all the columns, reduce the zoom in your browser until you can see all the columns.

  1. Select the Accounting icon to expose and/or edit the ChartField values.
  2. Enter your modifications. Use the Add a New Row [+] icon to create additional authorization lines.

Select the Attachments link or paperclip icon to add supporting documents to a line item or the entire travel authorization. If the paperclip does not have a green plus [+] next to it, there is already an existing document linked.

  1. Select the Save or Submit buttons when you are ready to submit.
