9.2 Create Course Equivalency Group
Purpose: Use this document as a reference for creating course equivalency groups in ctcLink.
Audience: Student Records staff
You must have at least one of these local college managed security roles:
- ZC CM Course Catalog
- ZD CM Course Catalog
- ZD CM Course and Class Inquiry
- ZD CM Local Configuration
- ZZ CM Course Catalog
- ZZ CM Local Configuration
- If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
You must also set the following SACR Security permission:
Navigation: NavBar > Navigator > Curriculum Management > Course Catalog > Course Equivalencies
Create Equivalent Course Group ID
- The Course Equivalencies search page displays.
- Select Add a New Value .
- Assign an Equivalent Course Group ID or accept the ctcLink ID that the system assigns upon saving the component by leaving the value of 'NEW' in the Equivalent Course Group field.
- Select Add.
- The Course Equivalencies page displays. Enter the course equivalency data to define the course equivalency group.
- Effective Date: Used to define when the equivalency group is valid. This may require a backdate to make the equivalency group available for historical courses or a future date for new courses not available yet.
Insert new rows if needed when changing the status of an existing equivalency group
- Status: As this is a new group the status should be 'Active'.
Note: To inactivate an equivalent course group, the equivalent course group number must be deleted from each course to which it is attached on the Catalog Data page in addition to changing the status to Inactive on this page.
- Description and Short Description: Describe the equivalency group in a way to find later. It is best practice to start the description with your college’s institution code as this table is not institution specific and a college can later search by description using this code (e.g. WA220 English 101).
- Select Save. Note the Equivalent Course Group ID number assigned by the system; we'll need this number later on in this QRG.
Assign Courses to Group ID
You must have at least one of these local college managed security roles:
- ZC CM Course Catalog
- ZD CM Course Catalog
- ZD CM Course and Class Inquiry
- ZD CM Local Configuration
- ZD FWL View Cnt Calc
- ZZ CM Course Catalog
- ZZ CM Local Configuration
- ZZ FWL Contract Calc
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Navigate to the Catalog Data page to assign this Equivalent Course Group ID to the appropriate courses:
Navigation: NavBar > Navigator > Curriculum Management > Course Catalog > Course Catalog
- The Course Catalog search page displays.
- Enter search criteria.
- Select Search.
- A list of qualifying courses displays at the bottom of the Course Catalog search page.
- Select the first qualifying course in the list.
- The Catalog Data page displays.
- Select Correct History (near the bottom-right corner of the page).
- In the Additional Course Information section, enter the Equivalent Course Group ID as noted in the Create Equivalent Course Group ID section above to add the course to a group of equivalent courses for requisite checking and degree progress requirement purposes. If two courses have the same Equivalent Course Group number, then they are equivalent to each other and can fulfill the same requirement.
- Select Save.
Note: If the effective date selected in above is after the effective date of the course on the Course data tab, the Equivalent Course Group will not be available in the look up for that field. In this case, either the Equivalent Course Group must be backdated to match the date on the Catalog Data page or a new effective dated row needs to be added to the Catalog Data page to match the date on the Equivalent Course Group page.
- Scroll to the bottom of the page then select Return to Search to add another Equivalent Course Group; or, if you want to update the next class in your original search list, select Next in List.
View Equivalent Courses
To view the courses associated with the Equivalent Course Group ID, navigate to the Course Equivalencies page:
Navigation: NavBar > Navigator > Curriculum Management > Course Catalog > Course Equivalencies
- The Course Equivalencies search page displays.
- Enter the appropriate information into the Equivalent Course Group field.
- Select Search.
- The Course Equivalencies page displays.
- Select Fetch Course Equivalencies.
- The updated Course Equivalencies page displays.
- The Equivalent Courses section is populated.
- Process complete.
