Generate Grade Roster - Batch

Purpose: Use this document as a reference for generating grade rosters in ctcLink.

Audience: Student Records.

You must have at least one of these local college-managed security roles:

  • ZC CS Grade Processing
  • ZZ CM Grade Process

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Batch Grade Rosters

Navigation: Curriculum Management > Grading > Create Grade Rosters

  1. The Create Grad Rosters run control ID search page displays.
  2. If you have run this process or report in the past, the page defaults to Find an Existing Value. Enter or search for an existing Run Control ID. If this is the first time running this process or report, select Add a New Value to create a new Run Control ID and select the Add button. 
  3. NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the  Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_GRADE_ROSTERS.
  4. The Create Grade Rosters page displays.
  5. Enter the following fields:
    1. Academic Institution
    2. Term
    3. Academic Organization
      • The Academic organization structure defines how an academic institution is organized from an administrative perspective. 
      • At the lowest level, an academic organization is frequently an academic department; for example “History Department” and “Mathematics Department." 
      • At the highest level, an academic organization can represent a college or division within the Institution.
  6. Select the Grade Roster Type:
  7. Final Grade
  8. Mid-Term Grade
  9. Select Override Existing Grade Roster:
    • Yes → Deletes and overrides any existing rosters when the process runs. Double-check before running.
    • No → Retains all existing rosters. Generates only new rosters for classes without one and appends any newly enrolled students not on the original roster.
  10. (Optional) Enter Session and Class Dates.
  11. Select the Add a new row [+] button to add additional criteria rows.
  12. Select Run.
  13. The Process Scheduler Request page displays.
    • Verify that the checkbox for Grade Roster Generator is selected.
  14. Select OK.
  15. The updated Create Grade Rosters page displays.
  16. Select Process Monitor.
  17. The Process List page displays.
  18. Select Refresh until the noted Instance shows:
    • Run Status: Success
    • Distribution Status: Posted
