9.2 Printing a Class Roster

Purpose: Use this document as a reference for how to Print a class roster in ctcLink.

Audience: Student Services staff.

Printing Class Roster

Navigation:  NavBar > Navigator > Curriculum Management > Class Roster > Print Class Roster

  1. The Print Class Roster run control ID search page displays.  It defaults to Find an Existing Value.  In this example, we'll create a new run control ID.
  2. Select Add a New Value.
  3. Enter Run Control ID.
  4. Select Add.

  1. The Print Class Roster page displays.  Input the following:
    1. Academic Institution: Enter or Look Up
    2. Term: Enter or Look Up
    3. Session: This will default to 'Regular Academic Session' but can be changed if needed
    4. Sort Option: This will default to 'Name' but can be changed if needed
    5. Class Nbr.: Enter Class number
    6. Students in The Report: Select which students to include in the report
  2. Select Run.

  1. The Process Scheduler Request page displays.
  2. Verify the Class Roster process is selected.
  3. Select OK.

  1. The Process Scheduler Request page disappears.  The updated Print Class Roster page displays.  Note the Process Instance number.
  2. Select Process Monitor.  Refer to the Process Monitor QRG for instructions.

  1. The Process List page displays.
  2. Select Refresh until the Run Status is 'Success' and the Distribution Status is 'Posted' for the Process Instance number you noted above in step 9.
  3. Select Details.

  2. Select View Log/Trace.

  2. Select the .PDF file to view the roster.

  1. The Class Roster Report displays in a new window.  View it, print it, save it - as you wish.
  2. Close the new window.

You can print a canceled class roster on the Print Class Roster page.

  • First, enter the Class Nbr in the "Select One of the  Following" section. Next, in the "Students In The Report" section,  select the "Dropped Students" checkbox.
  • Then, follow the steps in this  QRG, starting with #6.
  • In addition, you can search for the canceled  class on the Enrollment Request Search page. You will enter the Term,  Enrollment Action Reason of "CANC," Class Nbr, and click "Search." The  students dropped from the class cancellation process will be listed.  Although there is no PDF version, you can download the table to Excel.

Does this roster show preferred names or does it only show the first name of record? If a student has entered a preferred name in student self-service, does it override and show the preferred name?

If, after following all the above steps, the PDF option isn't showing, have I keyed something incorrectly or perhaps there's simply no one on the roster yet?

I am trying to look at class rosters for the upcoming quarter, but I am not getting the option for PDF after following these steps now. What am I not understanding about this process?

Hello! I'm having the same problem as Terri had on 03/04, the PDF doesn't appear on the File List.

Hi Julie, I hope you are doing well. Thank you for your question. On the Process Scheduler Request page, there is a link that reads "Distribution" in the Process List table. If you select the link, is your EMPLID entered in the Distribution ID field? If not, select User from the *ID Type drop-down list and enter your EMPLID in the *Distribution ID field.

I ran the report as specified in this reference guide, but never got a PDF output (just the .log and .out files) I tried to run the report again and now it is 'queued' I'm trying to run a report of all WA210 fall (2217) rosters for CNED classes. Thank you for your help.

Hi Tanjagay - Where do the class dates on the class roster pull from? The dates on the roster printed do not show the same as the meeting tab on the maintain the schedule of classes?

Hi Rachel, When you select the Run button, you are directed to the Process Scheduler Request page. In the Process List section, a link is titled "Distribution." When you select the link, the ID Type should be "User," and the Distribution ID must be set to your EMPLID in the Distribution To area. Can you print a roster of a class that had students enrolled, but the class was mistakenly cancelled?
