9.2 Remove Grade Roster Notes
Purpose: Use this document as a reference for removing grade notes in ctcLink.
Audience: Student Records staff.
Faculty can enter notes on their grade roster that post to the student transcript. These should be removed prior to posting but instructions below include removal after posting.
Identify Students with Notes
Navigation: NavBar > Navigator > Reporting Tools > Query > Query Viewer
- The Query Viewer search page displays.
- Enter "QCS_SR_GRD_ROSTER_TRNSCRP_NOTE" in the begins with field.
- Select Search.

- The Search Results section at the bottom of the page populates.
- Select your preferred Run to... format. In this example, we'll select Run to HTML.

- A new window opens.
- Enter Institution.
- Enter Term.
- Select View Results.

- The query results populate at the bottom of the page.
- Note the options to download the query results. Pen and Paper works, too. In some way, make note of the student(s) and classes you would like to process.
- Close the new window.

Remove the Note from the Student Record after Grades have been posted
Navigation: NavBar > Navigator > Records and Enrollment > Enroll Students > Quick Enroll a Student
- The Quick Enroll a Student search page displays.
- Enter ID as noted in step 11 of the first section of this QRG.
- Enter Academic Career.
- Enter Academic Institution.
- Enter Term as noted in step 11 of the first section of this QRG.
- Select Add.

- The Class Enrollment tab displays.
- Select "Normal Maintenance" from the Action dropdown menu.
- Enter Class Nbr.
The look up for the Norm Maint option will only return classes the student is enrolled in.
- Select the Other Class Info tab.

- The Other Class Info tab displays.
- Select the Create Transcript Note link.

- The Create Transcript Note page displays.
- Select the Delete a Row [-] button to remove the transcript note.
- Select OK.

- The Other Class Info tab displays.
- Select Submit.

- The Class Enrollment tab displays.
- Verify the process shows Success. See the QRG for pulling a Student Transcript if you need assistance to verify note does not displays.

Remove the Note from the Student Record before Grades have been posted
Navigation: NavBar > Navigator > Curriculum Management > Grading > Grade Roster
Refer to the first section in this QRG for instructions on how to identify students with notes.
- The Grade Roster search page displays.
- Enter Academic Institution.
- Enter Term.
- Enter additional Search Criteria to identify your class.
- Select Search.

- The Grade Roster Type tab displays.
- Select the Grade Roster tab.

- The Grade Roster tab displays.
- Identify the student with the grade note in the roster list, then select the Note link.

- The Transcript Note page displays.
- Select the Delete a Row [-] button to remove the note.
- Select OK.

- The Grade Roster tab displays.
- Select Save.

- Process complete.
