Adding Textbook Information to a Class

Purpose: Use this document as a reference for how to add textbook information to a class in ctcLink

Audience: Class Scheduling staff

You must have at least one of these local college managed security roles:

  • ZC CM Class Builder
  • ZD CM Class Attributes
  • ZD CM Class Builder
  • ZD FWL View Cnt Calc
  • ZZ CM Class Attributes
  • ZZ CM Class Text Book
  • ZZ CM Local Configuration
  • ZZ FWL Contract Calc

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Textbook information can be added to classes in the class schedule at the time classes are built in PeopleSoft or added as the information becomes available.

Adding Textbooks

Navigation: Curriculum Management > Schedule of Classes > Maintain Schedule of Classes

  1. The Maintain Schedule of Classes search page displays.
  2. Enter Academic Institution.
  3. Enter Term.
  4. Enter additional Search Criteria to locate your class.
  5. Select Search.
  6. The Basic Data tab displays.
  7. Use the arrows on the Class Sections section to find the class instance for which you want to add text book information.
  8. Select the Textbook tab.

College can add specific textbooks to each section of the class or add a link to the college bookstore in the Special Instructions section to link students to their bookstore website.

  1. The Textbook tab displays.
  2. In the Textbook Assignment section, use the Course Materials, Details and Notes tabs to add specific textbooks, course resources and other materials to each section of the class.
  3. Select [+] to add multiple textbooks or course materials, if needed.

  1. Use the Special Instructions box to input the college bookstore website.  This can be done in lieu of adding specific course materials or in addition to the specific course materials.
  2. Select TextBook entry complete radio button on the left side of screen, in the Textbook Assignment section.
  3. Select Save.
  4. Textbook information will display in the Class Details for the section of the class.

Copying Textbooks Between Sections

If multiple sections of the same class use the same textbook, college can copy the textbook information between sections.

Navigation: Curriculum Management > Schedule of Classes > Maintain Schedule of Classes

  1. From the Textbook tab of the section of the class that needs textbooks assigned, select Copy Textbooks radio button, located on the right side of screen in the Textbook Assignment section.
  2. A warning message will display that copying textbook information from another section will delete any existing information on this section for textbooks.
  3. Select OK to overwrite existing information.
  4. The message window disappears.
  5. The Class Search page displays.  Use it to identify the class the textbook information will be copied from.

  1. After the class section has been identified, select Select.

  1. Verify the textbook information that was copied.
  2. Select Save.

Low Cost Textbooks

  1. For low cost textbooks, enter course attribute information and value in the Class Attributes section of the Basic Datatab.

  2. In the Textbook tab, in the Textbook Assignment section, in the Special Instructions box, enter "The required instructional materials cost $50 or less; there may be additional mandatory equipment/supplies to purchase."
  3. Select Save

No Cost Textbooks

  1. For No Textbook to Purchase classes, enter course attribute information and value in the Class Attributes section of the Basic Data tab.

  1. On the Textbook tab, select the radio button “Textbook entry complete”.
  2. Enter "The required instructional materials are provided online at no cost during the course. A printed version and some supplementary course materials may be available for purchase in bookstore.” in the Special Instructions box of the Textbook Assignment section.
  3. Select Save.
  4. Performing a class search would show the results.

Process complete.
