Review a Student Alert

Purpose: Use this document as a reference for reviewing a Student Alert in ctcLink.

Audience: Student Alert reviewer.

You must have at least one of these local college managed security roles:

  • ZZ Student Alert Config
  • ZZ Student Alert User

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Review a Student Alert

Navigation:  Menu > Curriculum Management > CTC Custom > Student Alert > Review Student Alert

  1. The Review Student Alert page displays.
  2. Enter application search criteria for submitted alerts such as:
    1. Alert ID
    2. Student ID
    3. Institution
  3. Select the Search button.
  4. Select the appropriate student from the Search Results.

  2. The Reviewer can review the submitted alert and take the following actions as appropriate.
    1. Update the Student Alert Status:
      1. Submitted - The alert has not been reviewed.  The employee ID of the person who submitted the alert is populated in the Created By field.
      2. Pending - Indicates that a responder has viewed the alert but is not ready to set the status to Complete.  The employee ID is saved in the Responder field.
      3. Cancelled - An alert may be set to Cancelled to indicate that there is no action needed from the Responder.  The student will not receive a notification.
      4. Completed - The student and the person who submitted the alert will receive a notification.  Note that colleges may have an Alert Code where the student (or initiator) does not receive a notification when an alert is completed.  Please refer to your college configuration.
    2. Update Notes to Responder/Initiator.
    3. Uncheck the Include Comment in Student Notification box.
      1. This will only impact notifications sent after this update.
      2. This box can be selected by the person submitting the alert.  Uncheck the box if you do not want the comments to appear in the student notification.  Note that comments will not appear in the student notification unless this box is selected and the comments field is embedded in the student notification template (configuration decision made by each college locally).

Note: The character limit for Student Alert Comments is 254 characters, including spaces.

  1. Select the Save button after completing updates.

Note: If the Status is changed to Completed, the college configured notification will be sent at that time.

Process complete.
