9.2 Copying the Prior Term

Purpose:  Use this document as a reference for copying the prior term in ctcLink.

Audience: Student Records staff

This guide will walk you through copying the prior term. For additional details about what information your school requires, please refer to local business process policy and documentation.

Copying the Prior Term - Step 1

Navigation:  NavBar > Navigator > Curriculum Management > Roll Curriculum Data Forward > Copy Prior Terms Schedule

  1. The Copy Prior Term's Schedule run control ID search page displays.
  2. Enter an existing Run Control ID or select Add New Value to create a new one.
  3. Enter a Run Control ID.
  4. Select Add.

  2. Enter the appropriate Institution, Roll From Term and Roll To Term.
  3. Select Copy Prior Term's Schedule2.

  1. The Copy Prior Term’s Schedule2 tab displays.
  2. Enter relevant information about the Class Status and Roll Options.
  3. Select Run.

  1. The Process Scheduler Request page displays.
  2. Select OK.

  1. The Process Scheduler Request page disappears.  The updated Copy Prior Term's Schedule2 tab displays.  Note the Process Instance number.
  2. Select Process Monitor.  Refer to the Process Monitor QRG for instructions.

  1. The Process List page displays.
  2. Select Refresh until the Run Status is "Success" and Distribution Status is "Posted".

  1. After rolling over a term, the classes scheduled for a specific term are viewable:
    1. Navigation:  NavBar > Navigator > Curriculum Management >Schedule of Classes > Maintain Schedule of Classes.
    2. On the Maintain Schedule of Classes search page, enter Search Criteria.
    3. Select Search.
    4. Qualifying classes display at the bottom of the Maintain Schedule of Classes search page.

Workload Update Process - Step 2

Navigation: NavBar >Navigator >Curriculum Management > Roll Curriculum Data Forward > Copy/Update Workload Process

  1. The Workload Copy/Update run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.
  1. Input the required run control parameters.
    • Academic Institution
    • Roll From Term
    • Roll To Term

Please use the same term in the Roll From Term & Roll To Term fields. For example, when running the process for winter 2021, enter 2211 in both fields--this will ensure the data is updated in the Term Workload page for the term entered.

  1. Input the optional run contract parameters.
    • Begin with ID
    • End with ID

When updating term workload for a specific faculty, enter faculty’s ID in both “Begin with ID” and “End with ID” prompts.  If updating term workload for all faculty, leave prompts blank.

  1. Select Run.
  2. Process complete.
