9.2 Enter Visa Permit Data

Purpose: Use this document as a reference for entering Visa Permit data in ctcLink.

Audience: College staff responsible for maintaining Visa/Permit Data information.

You must have at least one of these local college managed security roles:

  • ZC CC Personal Info Student
  • ZD CC Personal Info Student
  • ZD CC Super user
  • ZZ CC Pers Info NID Update
  • ZZ CC Personal Info Student

You must also set these SACR Security permissions:

If you need assistance with the above security roles or SACR settings, please contact your local college supervisor or IT Admin to request role access

A person record must exist for the individual receiving the Visa Permit Data modification in order to proceed with this process. See QRG: 9.2 Adding Applications Manually

Enter Visa Permit Data

Navigation: NavBar > Navigator > Campus Community > Personal Information (Student) > Identification (Student) > Citizenship > Visa Permit Data

Institutional level security views will prevent you from viewing Visa/Permit Data for a student at another institution.

  1. The Visa/Permit Data search page displays.
  2. Enter Search Criteria to locate your student.
  3. Select the Include History checkbox.
  4. Select Search.
Enter the Student Search Criteria and select Search
  1. The Visa/Permit Data page displays.
  2. Enter sufficient data to align with college business process needs. The required fields are:
    • Country: Use lookup tool to select USA
    • Type: Use lookup tool to select visa type applicable to SEVIS process:
      • Options: F1, F2, J1, J2, M1, M2
    • Effective Date defaults to today’s date but can be changed as needed
    • Status defaults to “Applied” but can be changed as needed
    • Status Date defaults to today’s date but can be changed as needed
    • Duration Type defaults to today’s date but can be changed as needed
  3. Any supporting documents attached to this record are accessed by selecting Get Supporting Documents.
Visa Permit Data Tab
  1. Select the Port of Entry Data tab.
  2. The Port of Entry Data tab displays.
  3. Enter data to align with college business process needs. The Port of Entry Data tab does not require data to be entered.  
  4. Select Save.

Change the Visa/Permit Type

A change in a student's status such as a change in Visa/Permit Type can be recorded by adding a new effective dated row and entry of a new Type.

  1. The Visa/Permit Data search page displays.
  2. Enter Search Criteria to locate your student.
  3. Select Search.

  1. The Visa/Permit Data page displays.
  2. Select the [+] plus icon.
The Visa Permit page displays
  1. A new effective dated row displays.
  2. Country: Use lookup tool to select USA
  3. Type: Use lookup tool to select applicable visa type
    • Effective Date defaults to today’s date but can be changed as needed
    • Status defaults to “Applied” but can be changed as needed
    • Status Date defaults to today’s date but can be changed as needed
    • Duration Type defaults to today’s date but can be changed as needed
Enter the new type
  1. Any supporting documents attached to this record are accessed by selecting Get Supporting Documents
  2. After all the information has been entered, select Save.
Once all information is entered select Save
  1. Process complete.
