9.2 Importing SEVIS I-20 Data

Purpose: Use this document as a reference for importing SEVIS I-20 data in ctcLink.

Audience: College staff responsible for maintaining student SEVIS information.

Retrieving SEVIS Response ZIP File

Navigation:  NavBar > Navigator > PeopleTools > CTC Custom > Extensions > Upload/Download Files

  1. Before entering ctcLink, you will need to retrieve the response file from SEVIS.
  2. See SEVIS: Technical Guidance and User Manuals
  3. Unzip the downloaded response file.
  4. Separate any resulting PDF I-20 files from the XML transaction log file.

The SEVIS response file will not be available for retrieval until the next business day after the batch import was completed in the SEVIS batch interface.

Uploading SEVIS Transaction Log XML File

Navigation: NavBar > Navigator > PeopleTools > CTC Custom > Extensions > Upload/Download Files

  1. The File Upload/Download search page displays.
  2. Enter Academic Institution.
  3. Enter Functional Area.
  4. Enter Business Process Name.
  5. Select Search.

  2. Locate the SEVIS XML transaction log file on your computer. 
  3. Select Upload.

Importing SEVIS I-20 Data

Navigation: NavBar > Navigator > Campus Community > SEVIS > SEVIS Import > Import Process

  1. The Import Process run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.

If you are running the SEVIS Import Process for the first time, you will need to complete steps 7 through 15. Staff returning to this process using a previously saved Run Control should already have a File Path listed; skip to step 16 to continue the Import Process.

  1. The Import Process page displays.
  2. Enter File Name of the uploaded file. The file name entered must also list the file extension (i.e. sevis_transaction_log.xml).
  3. Enter File Path (unique to your college).
  4. For the first time, to locate the file path for your institution:
    • Open a new window--do not close the Import Process page
    • Navigate to File Upload/Download--NavBar > Navigator > PeopleTools > CTC Custom > Extensions > Upload/Download Files
  5. Enter or look up your Academic Institution.
  6. Enter "SEVIS" in the Business Process Name field.
  7. Select Search.

  1. The Upload Files tab displays.
  2. Highlight the File Path with your mouse, right-click, and select "Copy." Ensure you are only copying the file path and not additional spacing.

  1. Toggle back to the Import Process page.
  2. Paste the File Path copied from the Upload Files page. When pasting the file path, ensure there are no additional spaces before or after the file path in this field, and additional spaces will result in errors.
  3. Select Run.  Refer to the Process Scheduling QRG for instructions.

Navigation: NavBar > Navigator > Campus Community > SEVIS > SEVIS Import > Import Results

  1. The Import Results search page displays.
  2. Enter Selection Criteria to identify your import.
  3. Select Search.

  1. Look up the Process Batch.

  1. View results.  This process will update the I-20 Form page with SEVIS ID and Status once the return file has been properly loaded.
