9.2 Add Student Mailing Address

Purpose: Use this document as a reference for adding additional address types in ctcLink.

Audience:  College Staff responsible for maintaining student information.

You must have at least one of these local college managed security roles:

  • ZC CC Personal Info Student
  • ZD CC Personal Info Student
  • ZZ CC Personal Info Student
  • ZZ CC Pers Info NID Update

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

You must also set these SACR Security permissions:

A person record must exist for the individual receiving the address modification to proceed with this process. See QRG: 9.2 Adding Applications Manually

Add Student Mailing Address

Navigation:  NavBar > Navigator > Campus Community >  Personal Information (Student) > Biographical (Student) > Addresses/Phones >  Addresses

  1. The Addresses search page displays.
  2. Enter Search Criteria to identify your student.
  3. Check the Include History option.
  4. Select the Search button.

  1. The student’s Current Addresses will be listed for the student at the top of the page.

  1. There are two options for adding a new mailing address:
    • Option 1: The mailing address matches a current address listed for the student, or
    • Option 2: The mailing address does not match a current address listed for the student.

Option 1: The mailing address matches a current address listed for the student.

  1. Under Current Addresses, select the Address Type that will match the mailing address.

  1. The address type you selected will now display under the Add Address section.
  2. Select the “Mailing” option under the Add Addresses Types section.
  3. Select Submit.

  2. Under the Add Addresses section, the Submit button will now be grayed out.
  3. Under the Add Address Types section, there will be a check-mark next to mailing.

Option 2: The Mailing address does not match a current address listed for the student.

  1. Click Edit Address to enter the address fields next.
  2. Under Add Address section, select “Edit Address.”

Note: When searching for the England, select GBR (United Kingdom) to open the address fields. PeopleSoft delivers foreign address formats to conform to the customary address format of the specified country. Below is a helpful crosswalk for staff to use when determining where to enter values in PeopleSoft foreign address fields.

  1. Enter the mailing address as completely as possible in the fields.
    • If you are unable to save your address, confirm your address by checking the accuracy of your address. If you are still unable to save the address due to an error, select the Change Country link and choose USA. This will allow you to bypass the error before selecting OK.

  2. Select OK.

  1. Select the “Mailing” option under the Add Addresses Types section.
  2. Select Submit.

  2. Under the Add Address Types section, there will be a check-mark next to Mailing.

Bypass an Address

Sometimes, a student will provide a valid address that isn't recognized by Clean Address. This often happens when an apartment or home is under new construction. In cases where you've verified that a student's address is accurate and the address isn't recognized by Clean Address, bypass Clean Address by following the steps listed below.

The Clean Address database is updated every few months (with data from USPS), so colleges do not need to report addresses that are not recognized by Clean Address.

To view a table of invalid address error descriptions, visit the QRG 9.2 Update Address Information.  

  1. Enter the desired information into the following:
    • Address 1 field
    • Address 2 field (if applicable)
    • City field
    • State field
    • Postal field
    • County field
  2. Select the OK button in the lower-left corner.

  1. If the address is not verified as deliverable, a message box will appear at the top of the screen.
  2. In the message box, click OK.

  2. Select OK.
