9.2 Entering SEVIS Citizenship/Passport Data

Purpose: Use this document as a reference for entering SEVIS citizenship/passport data in ctcLink.

Audience: College staff responsible for maintaining student SEVIS information.

You must have at least one of these local college managed security roles:

  • ZC CS SEVIS
  • ZD CS SEVIS
  • ZZ CS SEVIS

    If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

You must also set these SACR Security permissions:

A person record must exist for the individual receiving the Citizenship/Passport Data modification in order to proceed with this process. See QRG: 9.2 Adding Applications Manually

SEVIS requires two citizenship rows to proceed with this process:

  1. Row reflecting the student’s foreign country of citizenship in the Country field, and
  2. Row reflecting USA in the Country field and Alien Temporary in the Citizenship Status field.

Entering SEVIS Citizenship/Passport Data

Navigation:  NavBar > Navigator > Campus Community > SEVIS > Personal Information > Citizenship/Passport Data

  1. The Citizenship/Passport Data search page displays.
  2. Enter Search Criteria to identify your student.
  3. Select Search.

  2. SEVIS requires two citizenship rows to proceed with this process:
    • Row reflecting the student's foreign country of citizenship in the Country field.
    • Row reflecting USA in the Country field and Alien Temporary in the Citizenship Status field.
  3. Follow the case options below to enter Citizenship/Passport information to meet SEVIS requirements.
Case Option 1: Student is missing USA citizenship row but has foreign country row
  1. Select [+] plus sign to add a new row.

  1. A second row will display with no values in the fields.
In the Citizenship/Passport section, select the lookup tool for the Country field and select USA.
  1. In the Citizenship/Passport section, select the lookup tool for the Country field and select USA.
  2. A USA value will automatically populate for the Country field in the Passport Information section.
  3. Select the drop-down arrow for the Citizenship Status field and select “Alien Temporary.”
  4. Select Save.
Student is missing foreign citizenship row
  1. Process complete.
Case Option 2: Student is missing foreign citizenship row but has USA - Alien Temporary row
  1. Select the [+] plus sign to add a new row.

  1. A second row will display with no values in the fields.
In the Citizenship/Passport section, click the lookup tool for the Country field and select student’s foreign country of citizenship.
  1. In the Citizenship/Passport section, click the lookup tool for the Country field and select student’s foreign country of citizenship.
  2. The value you selected will automatically populate for the Country field in the Passport Information section.
  3. Leave the Citizenship Status field blank.
  4. Enter student’s Passport Number if known. 
    • This is not a required field for the SEVIS batch process. 
  5. Select Save.
  1. Process complete.
