9.2 Batch Processing Service Indicators

Purpose: Use this document as a reference for processing service indicators for a batch of students in ctcLink.

Audience: College Staff responsible for maintaining student information.

The first step in processing service indicators by batch is determining the selection tool for the populations of students. This QRG covers batch processing using an External File or PS Query. Please get in touch with a system administrator for details on using Equation Engine.

Service Indicators (SIs) and their impacts are institution-specific.  Suppose a student has a Service Indicator blocking enrollment; it only affects their activity at that institution.

Mass Assigning Service Indicators

Navigation:  NavBar > Navigator > Campus Community > Service Indicators > Person > Mass Assign

  1. The Mass Assign run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID. 
  4. Select Add.

  2. Select Selection Tool = "PS Query".
  3. Select the Query Name you wish to run.
  4. Select Edit Prompts.

  1. The Query Prompts window displays.  Different queries require different prompts.  For this example:
    1. Institution
    2. Group Name.
    3. Select OK.

Mass Assigning Service Indicators Using an External File

  1. Create a list in an Excel spreadsheet with one student ID per cell in a row and save the file as a .CSV file type.
  2. Select External File from the Selection Tool list of values.
  3. Select Upload File, and then browse to the .CSV file created in step 1.
  4. Select Upload File.

  1. Select the Create File Mapping link or select the looking glass to choose an existing File Mapping to map the file loaded in steps 3 and 4.
  2. Name the File Mapping appropriately for reuse.
  3. If the file has no header row, leave the header row checkbox and field blank.
  4. Enter the Field Number ("1") identifying the column containing the EMPLID in the .csv file; then select OK.

  1. Select Preview Selection Results to review the format of the uploaded file.

Note: If the external file selection tool process exceeds the maximum number of results (rows--e.g. 10,000) to return, the process will not process ANY of the ID's.

  1. Select Institution.
  2. Select Service Indicator Code.
  3. Select Reason.
  4. If the service indicator is term-based, select the appropriate term from the list of values in Start Term and End Term.
  5. If the service indicator is date-based, enter the Start Date and End Date if the service indicator should expire on a specific date. If the service indicator is indefinite, leave the End Date field blank. The Start and End Date fields may be used in conjunction with the Start and End Term fields to specify a date range within a term.
  6. Enter a code for the Department placing the service indicators or use the magnifying glass icon to select a Department from the list. This may auto-fill dependent on the UserID of the individual running this process.
  7. Enter contact information and comments if required by the local business process.
  8. Select Run.  Refer to the Process Scheduling QRG for instructions.

  2. Select the SCC_SI_ASSN checkbox.
  3. Select the format to view the report.
  4. Select OK.
  5. The Mass Assign page displays. Select the Process Monitor link.

  1. At the Process List page, ensure the Run Status runs to Success, and the Distribution Status runs to Posted.  You may select the Refresh button until the status is SuccessPosted.

The student record will now show an icon in the Student Services Center and other student pages in ctcLink indicating the active service indicator.

Mass Releasing Service Indicators

Navigation:  NavBar > Navigator > Campus Community > Service Indicators (Student) > Mass Release

  1. The Mass Release run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.

  2. Select "PS Query" or "External File" from the Selection Tool drop-down menu. (See steps above on PS Query and External File identification.)
  3. Select Institution.
  4. Select Service Indicator Code.
  5. Select Reason.
  6. Select Run.  Refer to the Process Scheduling QRG for instructions.

  2. Select SCC_SI_RELS.
  3. Select OK.
  4. The Mass Assign page displays. Select the Process Monitor link.
