9.2 How to Use Excel for the NSC File
Purpose: Use this document for how to use Excel for the NSC file.
Audience: Student Services staff.
Editing the NSC enrollment report should be avoided if at all possible, please feel free to open the file for review in Notepad.
Many sites explain that csv files are not intended for Excel:
“For a number of reasons, beyond just the delimiter, it is a very bad idea to let Excel open CSV (or any other plain text file) using the default settings. Depending on your source file, you -will- corrupt your data. An in-depth article on this can be found at The One Man IT Department."
- Start with a blank Excel file.
- With the needed spreadsheet open, select the cell where you want to import the data from a .csv or .txt file.
- On the Data tab, in the Get External Data group, select From Text.
- Browse for the .csv file you want to import, select it and select the Import button (or simply double-click the .csv file).
- The Text Import Wizard will appear and you follow the steps.
- In Step 1, choose the file type and the row number to start importing the data. Typically, you choose Delimited and row 1, respectively. The preview window in the lower part of the wizard shows the first few entries of your .csv file.
- In Step 2, you select a delimiter(s) and text qualifier. Delimiter is the character that separates values in your .csv file. We don’t want the text delimited at all, so make sure none of the check boxes are selected.
- In Step 3, select text so you don’t lose any leading zeros in the data and select the Finish button.
- Choose the destination for the imported data, either an existing or a new worksheet, and select the OK button to finish importing your .csv file to Excel.
- Process complete.
