Changing an Enrollment Status from Credit-to-Audit via Enrollment Request

Purpose: Use this document as a reference on how to change an enrollment status from credit to audit.

Audience: Student Records staff

You must have at least one of these local college-managed security roles:

  • ZD SR Enroll Students
  • ZD SR Super User
  • ZZ SR Enroll Students

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Step 1 - Processing a Credit to Audit

Navigation: Records and Enrollment > Enroll Students > Enrollment Request

  1. Select the Add a New Value tab. 💡Use the Find an Existing Value tab to review prior enrollment requests.
  2. Enter the following search criteria:
    • ID: Enter or look up 🔍 the student ID.
    • Academic Career: Enter or look up the career.
    • Academic Institution: Enter or look up your institution.
    • Term: Enter or look up the term.
  3. Select Add.
  4. On the Enrollment Request page, select Normal Maintenance from the Action drop-down list.
  5. Enter the Class Nbr directly, or use the lookup icon 🔍 and uncheck the class the student is requesting to audit.
  6. In the Override section:
    • Check the Grading Basis checkbox.
    • Click the Grading Basis lookup icon 🔍 and select AUD (Audit).
  7. Click Submit.
  8. Confirm that the Status displays as Success.

Step 2 - Add a Grade

  1. On the Enrollment Request page, locate the Enrollment Request Details section.
  2. Select the Add a New Row [+] icon to insert a new sequence.
  3. A new row with Sequence Nbr = 2 appears.
  4. In the Action field, select Add Grade from the drop-down list.
  5. In the Class Nbr field, enter the class number or use the lookup 🔍 icon and uncheck the class the student is requesting to audit.
  6. In the Grade Input field, select the lookup 🔍 icon.
  7. Choose the "N" (No Grade) value.
  8. Select Submit.
  9. Confirm the Status = Success.
  10. Process is complete.
