Copy the Prior Term's Schedule

Purpose:  Use this document as a reference for copying the prior term in ctcLink.

Supporting Information:

Copying a Prior Term's Schedule copies class sections in the same Academic Group and Class Section. For example, if courses were built with a different Academic Group for a future term, the Copy Prior Term's Schedule process will not create those class sections. This is because the data has changed. Also, when a class section that mirrors a class is manually built for a future term, the Copy Prior Term's Schedule process skips creating the class section. Note: The results cannot be deleted once the process has been completed.

Copy the Prior Term - Step 1

Navigation:  Curriculum Management > Roll Curriculum Data Forward > Copy Prior Terms Schedule

  1. The Copy Prior Term's Schedule run control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
  3. NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the  Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_COPY_PRIOR_TERM.
  4. Select the Find an Existing Value to enter an existing Copy Prior Term's Schedule Run Control ID.
  5. Select Search and choose the appropriate Run Control ID.  
  6. The Copy Prior Term's Schedule page displays. Enter the appropriate Institution, Roll From Term, and Roll To Term.
  7. Copying "like terms" is standard practice to prevent complications. For example, consider adding Roll From Term =  fall (e.g., 2227) and Roll To Term = fall (2237). Avoid copying classes from summer to fall, fall to winter, winter to spring, etc.
  8. (Optional) Sequence: The system populates this field with "1" by default and increments it by one for each row you add.
  9. (Optional) Academic Group: You can define classes to copy based on their Academic Group.
  10. (Optional) Campus: Enter the campus for the copied classes.
  11. (Optional) Session: Enter the session for the copied classes.
  12. Commit Frequency: Default value = "1." Leave the frequency at "1."
  13. Select the Copy Prior Term's Schedule2 tab at the top of the page.
  14. Enter relevant information about the Class Status and Roll Options. As a default, all Roll Options are selected. Colleges can deselect unnecessary options.
  15. Select Run. Please refer to the Process Schedule Request steps for further instructions.
  16. After rolling over a term, the classes scheduled for a specific term are viewable: Navigation: Curriculum Management >Schedule of Classes > Maintain Schedule of Classes.
  17. Colleges should ensure that changes from one term to the next reflect the most recent updates (e.g., Instruction Mode).
  18. On the Maintain Schedule of Classes search page, enter Search Criteria.
  19. Select Search.
  20. Qualifying classes are displayed at the bottom of the Maintain Schedule of Classes search page.

Workload Update Process - Step 2

Navigation: Curriculum Management > Roll Curriculum Data Forward > Copy/Update Workload Process

  1. The Workload Copy/Update run control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
  3. NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the  Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_UPDATE_WORKLOAD.
  4. Enter or look up the Academic Institution by selecting the looking glass.
  5. When the Report Only checkbox is selected, the data are not updated.
  6. Enter or look up the Roll From Term by selecting the looking glass.
  7. Enter or look up the Roll To Term: Please use the same term in the Roll From Term & Roll To Term fields. For example, when running the process for winter 2231, enter 2241 in both fields--this will ensure the data is updated in the Term Workload page for the term entered.
  8. Copy Non-Course Assignments: Include assignments made directly on the Term Workload page. Leave the Copy Non-Course Assignments check box unchecked when you need to run the Update Workload process with the same Roll to Term value more than once.
  9. To identify a population of individuals, enter Begin with ID (EMPLID) and End with ID (EMPLID)--optional. (Fields are not available when the Report Only checkbox is selected.) When updating the term workload for a specific faculty member, enter the faculty member’s ID in both “Begin with ID” and “End with ID” prompts. If updating the term workload for all faculty, leave prompts blank.
  10. Select Run. Please refer to the Process Schedule Request steps for further instructions.
  11. On the View Log/Trace page in the File List panel,  select the hyperlinked file name ending with. PDF view a PDF copy of the Instructor Workload Report.
  12. Process complete.
